Privacy Policy
How SodiSchool handles information belonging to the schools, staff, students, parents and partners who use the platform.

Introduction
SodiSchool is a school management platform operated by Sodienics Technology. This policy explains what information the platform handles, why it is handled, and the choices available to the people it concerns.
It applies to the SodiSchool website and to the SodiSchool application used by schools, their staff, students, parents and partners.
Where a school uses SodiSchool to manage its own records, the school decides what information it collects about its students and staff and how long it keeps it. SodiSchool processes that information on the school’s behalf and according to its instructions.
Information We Collect
Information a school provides
- School details such as name, address, contact information and the web address used for the school’s portal.
- Records the school chooses to manage in the platform, including student records, staff records, classes, attendance, results, fees and payment history.
Account information
- Names, usernames, email addresses and phone numbers of the people given accounts by the school.
- Passwords, which are stored only in hashed form and are never readable by us.
- The role assigned to each account, which determines what that account may access.
Information collected automatically
- Sign-in activity, including failed sign-in attempts, which is used to protect accounts against guessing.
- Records of significant actions taken in the platform, kept as an audit trail.
Information you give us directly
- Anything you send us through our contact channels, such as your name, email address and the content of your message.
How We Use Information
- To provide the platform and the features a school has subscribed to.
- To authenticate users and keep accounts secure.
- To process payments made through the platform.
- To calculate partner commission on eligible payments.
- To provide support when a school or user contacts us.
- To maintain an audit trail of significant actions.
- To diagnose faults, and to maintain and improve the service.
We do not sell information about schools, staff, students or parents.
School Data and Ownership
The records a school enters into SodiSchool remain the school’s own. Each school on the platform is separated from every other school, and accounts belonging to one school cannot read or change another school’s records.
Within a school, what an account can see is determined by the role the school assigns to it, and by the branch that account belongs to where the school operates more than one.
Payment Information
Payments made through SodiSchool are processed by a third-party payment gateway. Card details are entered with that provider and are not stored on our servers.
We retain the record of a transaction — such as its reference, amount, status and the student or school it relates to — because that record is what the school’s finance and partner commission features depend on.
How We Protect Information
The measures in place include:
- Passwords stored only as hashes.
- Separation of each school’s data from every other school’s.
- Role-based access control, so an account reaches only what its role permits.
- Protection against cross-site request forgery on actions that change data.
- Throttling of repeated failed sign-in attempts.
- An audit trail of significant actions.
- Regular backups, which are verified by restoring them and comparing the result against the live database.
No online service can promise perfect security, and we do not claim to. If a breach affects your information we will act to contain it and notify those affected as required.
Data Retention
A school’s records are retained for as long as the school has an active account, and afterwards for as long as needed to meet legal, accounting or dispute-resolution obligations.
A school may ask us to delete its data. Where deletion would conflict with a legal or accounting obligation, we will explain what must be retained and for how long.
Your Rights and Choices
Depending on where you live, you may have the right to ask for a copy of your information, to have it corrected, to have it deleted, or to object to particular uses of it.
If your account was created by a school, that school controls your record, so please contact the school first. If you are unsure who to approach, contact us and we will point you to the right place.

Students and Younger Users
SodiSchool is provided to schools, and student records are entered by the school rather than by students themselves. Where a student is given an account to view their own results or fees, that account is created and controlled by the school.
Requests concerning a student’s record should be made to the school that holds it. We will support the school in responding.
Changes to This Policy
This policy will be updated as the platform develops. When we make a significant change we will update the date at the top of this page, and where the change materially affects how information is handled we will bring it to the attention of the schools using the platform.
